THE SHORT ANSWER
Can an accountant in Ontario look after a business in another province?
Yes. Most of the work an incorporated business needs is federal and the same everywhere: the T2 corporate return, GST/HST returns, payroll remittances and T4 slips all go to the Canada Revenue Agency (CRA). Once you authorize us as your representative with CRA, we can see your accounts, answer CRA letters for you and file on your behalf, wherever the business is based.
What changes from province to province is the detail. Sales tax works differently, payroll uses each province's tax tables, and two provinces run their own corporate tax return. We plan for those differences at the start, so nothing is missed at year-end.
If your corporation is in Quebec or Alberta, ask us about the provincial corporate return on the first call. We tell you plainly, before any work starts, whether we take on that filing.

What we see most often
Most tax surprises start in books that only get opened once a year.
Four common problems for owners who work with an accountant remotely, and what we do about each one.
- The problem
You sell into more than one province.
GST/HST is generally charged at the rate of the province where the customer receives the goods or services. One rate on every invoice can mean too little tax collected, or too much.
The solutionInvoices set up by customer province
We set your invoicing and books to the right GST or HST rate for each customer, and tell you when a provincial sales tax registration may also apply.
- The problem
Staff work in a different province from you.
Payroll tax is worked out using the province of employment, which follows the location the employee reports to. Quebec also has its own pension plan and parental insurance deductions.
The solutionPayroll set up per province
Each employee is set to the right provincial tables, with remittances, T4s and ROEs handled on a schedule.
- The problem
Paperwork arrives in a pile at year-end.
Receipts in email, statements in three apps and a shoebox of paper make the T2 slow and leave expenses unsupported if CRA asks.
The solutionOne secure routine
Statements and receipts come to us the same way every month, so the year-end is built from books that already balance.
- The problem
You only hear from your accountant at tax time.
By then it is too late to change how you were paid this year or to set money aside for the bill.
The solutionPlain monthly numbers
A short monthly report on profit, cash and tax owing, and a talk about salary and dividends before your year-end, not after.

FEDERAL DATES THAT APPLY EVERYWHERE
The calendar is the same coast to coast
Wherever you are, the main federal dates for a corporation and its owner are the same. We put yours on one calendar when we start, and you can see the full list on our tax dates page.
- The T2 corporate return is due six months after the end of the corporation's tax year.
- Corporate tax owing is generally due two months after year-end, or three months for many small Canadian-controlled private corporations.
- Personal tax returns are due April 30. If you or your spouse are self-employed, the filing date is June 15, but any balance is still due April 30.
- GST/HST returns are due monthly, quarterly or yearly, depending on your filing period.
ANSWERS BEFORE YOU START
Common questions.
General information, not tax advice for your situation. Book 15 minutes to talk about yours.
Do we ever need to meet in person?
No. Most clients outside the GTA never visit. Calls are on Teams and files move through a secure link. You are welcome at 181 Queen St E, Unit 5, Brampton, if you are ever nearby.
Which time zone do you work in?
Our office runs on Eastern time. We book calls at a time that works for both of us, including early mornings for clients in the West.
Can you talk to CRA for me?
Yes, once you authorize us as your representative through CRA's online services. We can then answer letters and reviews and discuss your accounts with CRA.
My corporation is in Quebec or Alberta. Can you help?
Both provinces have their own corporate tax return, and Quebec has its own sales tax and payroll rules. Bring it up on the first call and we will tell you plainly what we take on before any work starts.
Do you work with my industry?
We work with incorporated businesses of many kinds, including doctors, dentists, trucking companies, contractors, realtors, IT consultants and restaurants. If you are in Ontario, see the areas we serve.
