VAUGHAN AND BRAMPTON

Why Vaughan owners work with a Brampton firm

Vaughan is one of the busiest places in Ontario to run a building or trucking business. The industrial areas in Concord and Woodbridge are full of general contractors, framing, concrete, HVAC and electrical firms, cabinet and stone shops, and fleets that run out of yards near Highway 400, the 407 and the CN rail yard. Around them sit the businesses that serve them: suppliers, mechanics, equipment rental and the family companies that own the buildings.

Those businesses share an accounting problem. Money moves through jobs and trips, not through a simple monthly invoice. A contractor bills in stages, waits on holdbacks and pays a long list of subcontractors. A carrier pays fuel in several provinces or states, settles with owner-operators and keeps logs for every trip. When that paperwork is behind, the HST return, the T5018 slips and the year-end all slip with it. Our work is keeping it current so the filings take care of themselves.

Our office is at 181 Queen St E, Unit 5, in Brampton, which shares its eastern border with Vaughan. By car it is usually 20 to 35 minutes along Highway 7 or the 407. Most Vaughan clients send records through a secure link and meet us on Teams, often early in the morning or after the site closes. If you would rather sit down in person, book a time at the Brampton office.

What we see most often

In Vaughan, the tax problems usually start on the job site or in the truck, months before year-end.

Four common problems, and what we do about each one.

  1. The problem

    Subcontractors paid without the paperwork.

Cheques and e-transfers go out to subs all year, but nobody collects business numbers or WSIB clearance as they go. In spring, the T5018 slips and the WSIB questions arrive together.

    The solution

    A subcontractor file kept current

We list every subcontractor with their business number and amounts paid as the year goes, so the T5018 slips are ready when they are due and missing details show up early.

  2. The problem

Holdbacks and progress billing blur the numbers.

When income is recorded only as cash arrives, the profit on each job is a guess, and HST on holdbacks gets reported too early or too late.

    The solution

    Job-by-job tracking

We record each draw, holdback and change order against its job, so you can see which jobs made money and the HST lands in the right period.

  3. The problem

Trip costs that never make it to the books.

Fuel bought in several provinces, tolls, repairs on the road and meal costs on long hauls are easy to lose, and so is the IFTA fuel tax return that depends on them.

    The solution

Trip records that feed the return

We set up a simple way to send fuel receipts and trip logs each month, so IFTA, HST and the meal deduction are claimed on real records.

  4. The problem

Trucks and equipment bought on a hunch.

A truck, a trailer or an excavator bought in the wrong name, or on the wrong timing, can cost more tax than it saves, and personal use of a company vehicle creates a taxable benefit.

    The solution

    A talk before you buy

We look at buying or leasing, the company or yourself as owner, and the timing against your year-end, before you sign.

ANSWERS BEFORE YOU START

Common questions.

General information, not tax advice for your situation. Book 15 minutes to talk about yours.

Do you have an office in Vaughan?

No. Our office is at 181 Queen St E, Unit 5, Brampton, next door to Vaughan. Most Vaughan clients meet us on Teams, and you can visit the Brampton office by appointment.

We are behind on bookkeeping and HST. Can you catch us up?

Yes. We start with the bank and credit card statements, rebuild the missing months, then file any late HST returns. If CRA has already written to you, send us the letter first.

Do I need to issue T5018 slips?

If most of your business income comes from construction and you pay subcontractors for construction services, usually yes. We check your situation and prepare the slips and summary for you.

Can you take over from my current accountant mid-year?

Yes. We ask for last year's financial statements, the T2 and the notice of assessment, and pick up the books from your last closed month.

How are fees set?

After the first call we quote in writing, based on the work your business needs. Nothing starts until you agree.
